Executive Assistant

Our client, a fast growing technology company is looking for an Executive Assistant for their office in Markham. You will be working very closely with the executive suite, providing support for operations and project management and ensuring administrative efficiency, and executives are appropriately supported. This is a fast paced environment, therefore being comfortable with some ambiguity, anticipating "what's next" and acting as a self-starter are what's needed.
 
Responsibilities: 
  • Email filtering, organization and replies as per Director’s request for their Inbox
  • Managing Calendar personal & work for Director (booking, rescheduling, recurring events, etc.)
  • Supporting Director in personal tasks and/or delegating to another support team member in our office
  • Creating and building up your role’s Educational Resource in Microsoft OneNote (provides reference for Executive Assistant)
  • Keeping the office multi-use rooms organized and in order
  • Play a critical role on the team in ensuring deliverables are always met on time and with accuracy leveraging time responding to employee inquiries
  • Develop and implement efficient processes to streamline the business and reduce costs
  • Maintain all hard copy and digital records for ongoing executive projects
  • Possibly use Inventory System to prepare Purchase Orders (Fishbowl), CRM Database Management (Infusionsoft)
  • Constant following up with necessary points of contacts
  • Ability to Problem Solve, develop alternative actionable solutions when information is provided or self-attainable
  • Strong sense of responsibility and ability to complete tasks with minimal supervision
  • Impeccable written and oral communications skills
Requirements:
  • Minimum 3-5 years supporting a department leader in an assistant capacity within an office environment
  • Proficiency with Word processing, One Note and One Drive or experience with similar cloud applications, Excel, and Outlook E-mail
  • Experience with QuickBooks, Asana, Infusion Soft, Fish Bowl (preferred)
  • Project Management experience is preferred
  • Valid driver’s license with clean driving record
  • Some overtime may be required
